What Personal Data We Collect

As part of the recruitment process, we may collect and process the following information.

  • Date of Birth
  • Gender
  • Contact details (email address, telephone number, and address)
  • Nationality
  • Country of residence
  • Responses to application questions
  • Employment history
  • Education and qualifications

Optional Information

  • Resume/Curriculum Vitae (CV)
  • Cover letter
  • Certificates and diplomas
  • References
  • Portfolio or work samples
  • Other documents you choose to submit that are relevant to the position

Please submit only information that is relevant to the position you are applying for.

How We Use Your Information

Your personal data is used solely for recruitment and employment-related purposes, including:

  • Reviewing your application and qualifications.
  • Assessing whether you meet the requirements of the role.
  • Communicating with you throughout the recruitment process.
  • Scheduling interviews and practical assessments.
  • Verifying references, certifications or qualifications where appropriate.
  • Maintaining recruitment records in accordance with applicable legal obligations.

Applicants who meet the minimum requirements for a position will progress through the recruitment stages within our recruitment platform.

Recruitment Platform

Outdoor Norway uses Keka as its Applicant Tracking System (ATS).

When you apply for a position, your personal information is securely processed and stored within the Keka platform on behalf of Outdoor Norway.

Outdoor Norway AS is the Data Controller for your personal data, and Keka acts as our Data Processor, processing your information according to our instructions and applicable data protection laws.

Interviews, Recordings and Transcripts

To ensure a fair, consistent and objective recruitment process, some interviews may be conducted through video conferencing platforms.

Where appropriate and in accordance with applicable law, interviews may be recorded and transcribed.

Interview recordings and transcripts are used exclusively for internal recruitment evaluation, candidate assessment and hiring decisions.

Access is limited to:

  • Human Resources
  • Hiring Managers
  • Relevant Department Managers
  • Company leadership involved in the recruitment process

Interview recordings and transcripts are never shared outside Outdoor Norway without a legal basis or your permission.

Where required by law, candidates will be informed before recording begins.

Who Has Access to Your Information

Your application may only be accessed by employees who require the information as part of the recruitment process, including:

  • Human Resources
  • Hiring Manager
  • Department Manager
  • Interview panel members (where applicable)
  • Company directors participating in hiring decisions

Everyone involved in recruitment is expected to maintain strict confidentiality.

Application Screening

Some questions within the application process are used to determine whether applicants meet the essential requirements of the position.

Applicants who do not meet mandatory requirements may not proceed to the next recruitment stage.

All hiring decisions are ultimately reviewed and made by people. Outdoor Norway does not rely solely on automated decision-making.

How Long We Store Your Information

Unless otherwise required by law, Outdoor Norway will retain applicant information for up to 24 months after your most recent application.

After this period, your information will be securely deleted or anonymised.

If you become an employee of Outdoor Norway, relevant recruitment documentation may become part of your personnel file in accordance with applicable employment legislation.

Your Rights

Under the GDPR, you have the right to:

  • Request access to the personal data we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal data where legally applicable.
  • Request restriction of processing.
  • Object to certain types of processing.
  • Receive a copy of your personal data where applicable.
  • Lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet).

Where available, you may also log into your Keka candidate profile to review or update your application information.

Data Security

Outdoor Norway applies appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, loss or disclosure.

We work with trusted service providers that maintain appropriate security and privacy standards.
